Job Summary:

The Payroll & Benefits Specialist will be responsible for planning and administering all aspects of the payroll function and the company’s benefit programs for Golden Grape Entertainment.

Duties/Responsibilities:

  • Responds to inquiries from managers and employees regarding payroll/benefit policies and procedures, plan provisions, deductions, benefit enrollments, status changes, and other general questions in a timely manner
  • Assists with new employee orientation by explaining company human resources and payroll policies and processes
  • Ensures all new hire information is entered into electronic personnel action form and payroll system in a timely manner; this includes salary, job title, reporting structure, and setting up PTO accruals and holiday usage.
  • Completes and processes GGE payrolls according to schedule. Ensures payrolls are accurate and timely, entering correct data for time off, deductions, and withholdings/taxes. Prints reports and checks information with time cards to ensure accuracy
  • Responsible for maintenance of payroll system(s) and time system by working with ADP and IT to process updates, upgrades and other required maintenance
  • Coordinates all paperwork to establish and set-up payroll in additional states, as required. Ensures all quarterly tax reporting for each state is completed on time in accordance with tax requirements.
  • Maintains PTO and sick leave reports, coordinates time off requests and the employee time off calendar. Adjusts general ledger balance of accrued PTO and sick leave quarterly or as needed
  • Reconciles monthly payroll deductions, such as garnishments, medical premiums, and 401k. Ensures compliance with garnishment requirements, based on specific state and federal regulations.
  • Processes all insurance and 401k enrollment forms and changes. Updates insurance coverages due to changes in employee status and eligibility. Monitors eligibility each month by running and reviewing eligibility reports.
  • Works with 401(k) administrators to calculate accurate employer contributions and tax filings.
  • Participates in the safety committee, and assists with workers compensation payroll wage statements
  • Assist Human Resources with checking that all workplace posters are up-to-date and in accordance with federal or state/provincial requirements.
  • Coordinates the monthly benefit enrollment process, as well as the annual open enrollment process. Informs team members of benefits eligibility by explaining various programs, resolving questions and problems by researching policies and regulatory requirements, providing answers in a timely manner, ensuring a timely and complete communication process for all employees and ensures enrollment forms are complete and correct
  • Submits employee benefit enrollment forms to insurance broker once employee becomes eligible for benefits
  • Oversees monthly employee benefit administration including reconciling billing, new benefits enrollments and cancellations. Ensures COBRA regulations are followed for general notices and terminated employee notices.
  • Accurately maintains employee benefits filing system and ensures benefit enrollments and changes are entered appropriately in the payroll system for payroll deductions
  • Updates payroll records by entering changes in employee’s direct deposit, exemptions, insurance deductions, wage garnishments, and job title and department transfers
  • Reviews, tracks, and prepares reconciliation of all employees exits and employee leave balances
  • Ensures all managers have completed Payroll Manager training prior to giving them access to payroll system and facilitates payroll workshops for management team as needed
  • Consistently communicate payroll and benefit information to employees and management team
  • Creates monthly payroll and benefit reports and submits them to Vice President of Operations
  • Ensure compliance with all regulatory needs including, but not limited to, ERISA, COBRA, Workers’ Compensation, ACA, FMLA, and ADA by staying up to date on regulatory changes to ensure proper administration.
  • Submits termination of benefits for employees exiting the organization; ensures benefit termination is communicated to carrier in a timely manner
  • Partner with Leadership on annual benefits plan design. Recommend changes based on current trends and usage. Ensure plans are compliant with state and local legal requirements.
  • Responsible for completing the monthly benefit reconciliation report and submitting it to Accounts Payable for timely premium payments; ensures payroll deductions are correct and adjust any changes necessary based on employee enrollment information
  • Submits termination of benefits for employees exiting the organization; ensures benefit termination is communicated to carrier in a timely manner
  • Performs other duties as assigned

  • Responds to questions and obtains or conveys information politely, professionally and promptly.
  • Completes reports, records and other documentation in accordance with established deadlines. Notifies supervisor of any problems in meeting deadlines or in workflow.
  • Utilizes report writing system(s) to generate reports for payroll, accounting, human resources and management as needed.
  • Provides suggestions and solutions for solving problems and increasing productivity.
  • Attends and participates in meetings and training as required.

Education and Experience:

  • Bachelor’s Degree in Business Administration or closely related field or
  • High School diploma with five (5) years of additional benefit administration and/or
  • payroll related experience.
  • Must be proficient in Microsoft suite (Word, Excel, and Outlook) and skilled in a window-based payroll system.
  • Must be extremely organized and can establish and adhere to priorities
  • Must be able to coach employees and management through complex, difficult and employee issues.
  • Self-starter with strong desire to accomplish assignments in an accurate and timely manner
  • Must possess the ability to maintain the strictest confidentiality
  • Must possess good writing skills and be able to utilize basic analytical skills
  • Must have the ability to create, read, analyze, and interpret common reports
  • Ability to calculate benefit premiums and reconcile accounts accurately.
  • Ability to work both independently, as well as effectively in a team environment. • Strong analytical skills with extreme attention to detail.
  • Ability to manage several complex projects simultaneously while working under pressure to meet deadlines.
